We have been trusted with guests' names, addresses and holiday plans since 1983 — long before privacy law required care, we treated your details the way we treat your keys. This policy explains, in plain language, what we collect, why, and the rights you hold under the Protection of Personal Information Act (POPIA).
Section One
Who we are
Ballito Accommodation cc, of 29 Sandra Road, Ballito, KwaZulu-Natal, is the responsible party for the personal information described in this policy, as defined in POPIA.
We are a family-run holiday letting agency managing around 165 privately-owned homes and apartments in Ballito, Chaka's Rock, Salt Rock and Sheffield Beach. Every decision about your information is made in that office — not by a platform on another continent.
Section Two
Information we collect
We collect only what a booking genuinely needs:
- Guests — your name, contact details, ID or passport number for check-in, payment details, and stay preferences (dates, party size, the village and view you prefer).
- Property owners — property details and banking details, so that we can market your home and pay your monthly statements.
We do not ask for information we do not need, and we never collect details about children beyond the number in your party.
Section Three
How we use it
Your information is used to process bookings and payments, to communicate with you before, during and after your stay, and to keep the guest registers we are legally required to maintain.
Our newsletter — specials, season openings and last-minute gaps — is sent only with your consent, and every edition carries a working unsubscribe link. Declining it changes nothing about your booking.
Section Four
Cookies & analytics
This website uses essential cookies that make the booking flow work — remembering your dates and selection between pages. Without them the site simply cannot take a booking.
We also run basic, anonymised analytics so we know which pages help guests and which don't. We use no advertising trackers, no social-media pixels, and we do not follow you around the internet after you leave.
Section Five
Sharing
Your information is never sold. It is shared only where a booking requires it:
- With the owner of the property you have booked — your name and party size only.
- With our payment processors, to the extent needed to take and refund payments securely.
- Where the law requires disclosure — for example, guest registers inspected by an authority.
Section Six
Your POPIA rights
Under POPIA you may at any time ask us for access to the personal information we hold about you, request its correction or deletion, and object to processing, including direct marketing.
Our information officer can be reached at bookings@ballitoaccommodation.co.za and will respond within a reasonable time — usually the same working day. If you are not satisfied with our answer, you may lodge a complaint with the Information Regulator (South Africa).
Section Seven
Retention & security
Booking and payment records are kept for as long as SARS and other legal retention periods require, after which they are securely deleted or anonymised. We do not keep your details "just in case".
Records are held on secured systems with access limited to the staff who need them to do their work — the same small team you speak to on the phone.

This policy is effective from 1 July 2026. If we change it, the updated version is published on this page with a new effective date — we will not quietly move the furniture.
